In foreign trade, the exporter and importer have to go through "Enquiry-- Offer--Counter-offer--Acceptance" before they sign a contract. Enquiries are usually made by the buyers to get information about the goods to be ordered, such as catalogues, prices, terms of payment and delivery date. Offers are a formal presentation of the goods to be supplied on the terms specified therein for the buyer's acceptance. Sometimes the exporter or the importer may ask for some alterations to the terms and conditions offered by the other, which is what we call a counter-offer.
1) When making enquiries, the enquirer should:
~ give details of his own firm;
~ be specific and state exactly what he wants: a catalogue, a price-list, a sample, terms of trade, etc. ~ use such phrases as "should your prices less competitive", "if your quotation is favorable" or "Please quote your best prices".
2) When making a firm offer, the offerer should:
~ express thanks for the enquiry;
~ make favorable comments on the goods needed if possible;
~ supply all the information requested, including name of commodities, quality, quantity and specifications;
~ give details of prices, discounts, terms of payment, date of delivery,
packing and insurance;
~ state the period for which the offer is valid.
3) When making a counter-offer, the offeree should:
~ thank the supplier for the offer;
~ express regret at inability to accept and state reasons;
~ put forward amendments or new proposals;
~ suggest that there be other opportunities to do business together.
